What it is
School meetings move fast. There are new words, a table full of people, and the perfect question always shows up on the drive home. The School Meeting Binder is a calm, 21-page printable that takes you through an IEP or 504 meeting from start to finish: before, in the room, and after. It's made for parents, grandparents, foster and kinship caregivers, and the social workers and providers who come along to support them.
What's included
- Welcome: how the binder works, who it's for, a 10-minute setup, and a kind "this isn't legal advice" note
- Words You Might Hear: 10 common school words (IEP, 504 plan, accommodation, modification, present levels, and more) in plain language
- My Child at a Glance: a one-page snapshot to copy and hand to the team (strengths, what helps, what's hard, how they show stress)
- In Their Own Words: a page the student fills in, draws, or says out loud, including whether they want to come to the meeting
- What We Notice at Home: a simple log, because specifics are easier for a team to act on
- Before the Meeting: a two-weeks-to-morning-of checklist and a papers-to-gather list
- Questions to Ask: 20 questions in four groups, so you can tick the few that matter most
- My Meeting Plan: your top 3, where you can be flexible, and an easy opening line
- Bring a Support Person: who could come, and a job to give them (note-taker, question keeper, calm buddy)
- For the Support Person: a hand-over page for the helper, with extra notes for professionals
- Words That Help in the Room: 12 short phrases to slow things down, get plain words, get it in writing, and pause before signing
- Meeting Notes and What We Heard
- What We Agreed: who, how often, when it starts, and how you'll know it's working
- Follow-Up Tracker
- Email templates (6): asking for a meeting, asking for papers ahead of time, asking for an evaluation, "here's what I understood," checking on a next step, and "something isn't working"
- Our School Team contacts and a meeting log
- After the Meeting: how it went, calm next steps if you don't agree, and taking care of yourself
- Notes and Next Time
